Renter Experience
- After signing up, Prospective Renters can click on “Tour Now” to decide whether to do a Self-Guided Tour or an Agent tour.
- When an Agent tour is enabled, a prospect can see all the available units in the Community for both Agent and Self-Guided tours.
Scheduling a Self Tour
- When a prospect clicks on “Tour Now” and selects a Self-Guided tour, they will be taken to a new page where they can select the Unit they would like to tour.
- Once the prospect selects a Unit and clicks on tour Unit, they will go through the normal flow of scheduling a Self Tour: Entering move-in date, Text to mobile (If scheduling from a desktop), uploading ID, Selfie, and Credit Card Info, and confirm their tour.
- If the prospect has an existing Rently account, they can select a Unit and click on tour Unit followed by selecting the date and time for their tour.
- If the prospect does not see a Unit they like, they can click on “Please check for Agent tour” and schedule an Agent tour
Scheduling an Agent Tour
- Prospects will be able to do Agent tours in communities now just by selecting Agent Led tour
- Prospects will not have to select any units and directly go ahead with scheduling their Agent tour
- Prospects can select a date and time and schedule their Agent showing successfully.
Email Received:
- Prospect receives the below email after successfully scheduling their tour.
- No tour confirmation text message will be sent to the prospect
- Prospect will be able to Reschedule their Agent tour if needed by clicking on the Reschedule button
- Prospects will be redirected to the below page if they decide to reschedule their Agent tour.
- Prospects will also be able to cancel the tour.
Manager Experience
- Rently staff can configure the setting to enable Agent Guided Touring and full vacant listings to appear on Rently.com via our Support Admin portal. This only will be allowed for communities using Yardi Voyager 7S for guest card integration.
- When enabled, communities with this setting will have a new setting under their Community Settings to configure their hours of operation for agent-led tours and a tour duration. Our system will also read your Yardi calendar and block off times being offered that have other agent-led tours at the same time.
- On your Community Listing Page, we will now show an Agent Guided Touring option and list all vacant/rent-ready units from your Yardi system as pictured in the Renter Experience above.
- When an Agent-Guided tour is scheduled, you will see a guest card and tour event created in your Yardi system for the new Agent-Led tour. In most cases, this is assigned to a general Agent bucket (for example, ‘Portal’). This allows the appointment to appear on Yardi CRM and the leasing team to claim the appointment.
- Please note that Agent Led Tours will not appear in your Rently Data Dashboards or Reports. We plan on including this by end-of-year. However, all data and showings will appear in your Yardi Voyager and CRM account.
About our Guest Card Integration
Our Yardi Agent Guided Tour integration works the same way as our Self Guided Tour Guest Card integration. With our integration, we can create new Guest Cards and update previously created Guest Cards.
Please note that if the leasing staff cancels/reschedules/tours prospects at Community, they will be responsible for updating the Guest Card comments themselves. Our system only works when events are created/changed on our end.

If Tour Gets Rescheduled by the prospect on Rently, we will cancel the previous appointment and add the following comment:
- Scheduled to visit at: [Appointment Time]. In-Person Tour Powered by Rently.
If Tour Gets Canceled through Rently, we will Cancel the Previous Appointment in Yardi and have the following Guest Card Comment:
- Scheduled to visit at: [Appointment Time]. In-Person Tour Powered by Rently. (Appointment Canceled [Imported at: [Import Date & Time])
- Your Appointment has been Canceled on Rently. In-Person Tour Powered by Rently
