1.0 Community Management Screen
The ‘Communities’ tab on the left allows you to add new communities or edit existing ones.
1.1 Adding a community
When you create or edit a community you have the ability to provide special instructions to your prospects touring your community. These images and text instructions display during the self-tour of your community.
You can see how these instructions display to your renters starting in section 4.0.
1.2 Community area access types (single unit)
Single Unit: Renters can schedule to view one unit per tour.
Multi Unit: Renters can schedule to view any available unit per tour
What type of access does your community use?
None: Direct walk-up to units.
Code: Supply static intercom code for community access.
Lockbox: Utilize lockbox for community access.
What type of access does the unit require?
Community Lockbox: Lockbox outside the community or inside at a common area hosts access tools to the unit and community.
Bundle of Keys: Not currently used
Unit Lock: Lockbox at the unit will supply access.
Common area access types (multi unit)
The Multi-Unit option allows you to use a FOB or bundle of keys to facilitate self-tours for any units marked for self-touring on the portal (covered in section 2.1 and 2.2)
Choosing the Multi-Unit option will present the module on the left. Here we can choose to assign
lockboxes to the “Lockbox Bank”, which will be the lockboxes used by Renters to access the access tools for unit, amenities, and/or common area access.
Renters who sign up for a self-tour for your community will be able to select any Unit you mark as ‘On’ for “Auto-Showing” to tour both when scheduling their tour, and when they check-in at your community.
Some important notes for multi unit tour option:
- You currently can only replace lockboxes, not remove them, from the portal. Please contact your Client Success representative to assist if needed.
- When the system detects a key as missing, an icon will show next to the respective lockbox for you to confirm the keys are intact. The system will not assign a lockbox to a renter which has a key detected as unreturned.
1.3 Community Admin Settings & Building Management
The Community Admin Settings module hosts information for your respective community like logo, leasing email & phone number, website URL, application link, time zone, photos, allowed showing times, and email alert settings.
The Building Management module allows you to add your community buildings into Rently. Buildings are necessary before adding units to your community.
2.0 Unit & Device Management Screen
1. Search for lockbox/lock serial, unit name, or unit address.
2. Dropdown to select community.
3. Add unit for showing.
2.1 Adding a unit (off-market)
When adding a new unit you can choose either on or off market. Adding an off-market unit you fill out the necessary details for the unit, assign it to a building, and can assign a lock device for showing.
2.2 Adding a unit (on-market)
Basic tab
When adding an ‘on-market’ unit you are asked to fill out more detailed information about the unit. Starting with the Basic Tab, you fill out address and building information.
Marketing
The ‘Marketing’ tab is used for specific information about the unit, including price, bedroom/bathroom, and amenities.
Media
The media tab is used to upload photos of the unit. You can drag and drop to choose the main photo that will appear first for your prospects when viewing the community listing page.
Showing
The ‘Showing’ tab allows you to assign a lock device to your unit, enable/disable self-tours, as well as provide up to 10 Unit Access Instructions for your renters. Images & text can be ordered by being dragged and dropped. We recommend using around 150 characters per text box.
Why don't I see a space for Main Lock Device?
This is because your community is using the Multi Unit tour type. Instead, lockboxes are assigned to your community in the Community page via the Lockbox Bank (see section 1.2).
2.3 Unit & Device Management Screen (Detailed)
1. Search by unit name, address, or lockbox serial number
2. Apply filters to view units in your community
3. Shows you the community iFrame link for your prospects to schedule self-tours
4. View showing data, SMS messages, vendor access, etc. for that specific unit
5. Change the market status of the unit
6. Edit address, marketing, media, and showing settings for the selected unit
7. Generate unlock or unshackle codes for the assigned lockbox, or the lockbox you search for via step #1
3.0 Community Listings Page
The Community Listings Page can be obtained from the ‘Edit Community’ page, or via the ‘Listing Link’ button from the ‘Units’ page. This is where your renters will begin their self-tour process.
Tip: You can use a source token at the end of the URL to have a source for where the Community Listing Link is clicked from. You can do this by putting &source=example.com. Full form would be:
https://homes.rently.com/apartments-for-rent/community_name/community_id?source=apartments.com
4.1 Renter Experience: Parking Instructions
The ‘Parking Instructions’ and ‘Community Rules’ you enter will appear to your renters once they
schedules their self-tour. It is also sent to the renter in a Tour Scheduled email with the same information.
4.2 Renter Experience: Community Area Access Instructions
The ‘Community Area Access Instructions’ instructs your renters how and where to access your community, whether via lockbox, intercom, or a direct walk-up to the units.
The most practical use case for this instruction field is a picture of where the lockboxes with access tools are located, or how to find the front entrance of the community.
4.3 Renter Experience: Unit Access Instructions
The ‘Unit Access Instructions’ appear during your renter’s journey to guide them from the community access point/lockboxes to the specific unit for touring. Feel free to be creative here and show off your amenities along the way! See this article on how to set that up.
We recommend using around 150 characters per instruction alongside photos to guide them along their self-tour.
